When you request a free homepage preview, we use the details you provide to understand your business, prepare the preview and contact you about it.

Submitting the form does not start a paid subscription.

No payment is taken unless you later choose to activate a paid plan.

Payments may be processed using third-party payment providers such as Stripe.

We do not receive or store your full card details. Payment providers process those details directly under their own privacy policies and security standards.

When you start a monthly plan, add a recurring service to a plan you already have, or start an add-on subscription such as Professional Business Email, we record what you were shown and agreed to before any payment was taken.

• how often the payment repeats
• the exact wording displayed on screen
• the version of our Terms and of that wording
• the date and time
• the IP address your device reported, where available
• basic browser information your device reported, where available

We keep this so that we can show what was disclosed and agreed before recurring billing started, and so that any question about a subscription can be answered from a record rather than from memory.

We do not use it to track your behaviour, to identify your device beyond the basic information above, to work out where you are, or to record your screen.

We may use trusted third parties to help operate our business, such as providers for:

• website hosting and infrastructure
• email delivery
• business email hosting
• customer authentication and database services
• payment processing

• error monitoring and security

If you order Professional Business Email, we use a third-party email hosting provider for your mailbox. We share with that provider only what is needed to create and run it, such as the mailbox address and your domain.

Our email hosting provider processes and stores mailbox data, including email content, as necessary to provide the email service.

Free Web Launch does not store your mailbox password or IMAP/SMTP credentials in the portal. Our team sends your sign-in details to you directly.

9. International transfers

Some technology providers may process or store information outside the United Kingdom.

Where personal information is transferred internationally, we take reasonable steps to ensure appropriate safeguards are in place as required by UK data protection law.

10. How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected.

Typical retention periods may vary depending on the information involved.

For example:

• enquiry information may be kept for a reasonable period so we can respond and maintain a record of previous conversations
• active customer information is retained while we provide services
• financial and transaction records may be retained for the periods required by tax and accounting law

• records of a Professional Business Email service, such as its status, its history and related support messages, are kept on the same basis as other customer and support records
• a Business Email mailbox, and the email in it, may be deleted after the service ends

The six-year period for subscription-agreement records is our own retention policy. We have chosen it so that these records sit alongside the financial records for the same subscription, and so that a question raised long after a plan has ended can still be answered.

We periodically review information we no longer need and delete or anonymise it where appropriate.

11. Marketing

We will not automatically add you to a marketing mailing list simply because you request a homepage preview.

If we introduce optional marketing emails, we will provide the appropriate information and opt-out controls.

You can ask us to stop sending marketing communications at any time.
